What PrepDesk does for a sole trader

When there’s no ledger, the documents are the books. PrepDesk reads the client’s sales invoices, receipts and bills, with their bank and card statements, and builds an Invoice Register and an Expense Register. Every row has its source page, its treatment and a status.

The Invoice Register

  • Each sales invoice is a row, counted by its invoice date.
  • An invoice in the year whose payment isn’t on the year’s statements raises a question about the income basis.
  • A foreign-currency invoice takes the matching credit as its AUD amount, or is held out until someone converts it.

The Expense Register

  • Each business receipt or bill is a row, with a category from a keyword table in code.
  • The same invoice uploaded twice is shown once, with the copy listed and not counted.
  • A receipt paid from a statement is matched to its debit, so the debit isn’t counted twice.
  • Bank and card fees on the statements become one row per account.

What it asks you to check

Mixed-use costs are marked for a business-use review, equipment over the threshold for a capital review, and travel that names no customer for a business-purpose review. A cost recharged to a customer is marked for review too. Each comes with its reason, and the decision is your team’s.

Code sets the figures

The AI reads the documents. Plain code then sets every row, amount and status; AI never sets a treatment.

What comes back

Two files. One ordered PDF with a lead sheet, and the workbook as Excel, with the registers as their own tabs beside the client’s other workpapers.
